Semester Ticket Refund

Please note that we updated the application form. Old versions of the application forms will not be processed.

Students may be entitled to a partial, or full refund of the semester ticket fee for various reasons:

  • Social indigence (current inability to afford living expenses and pay the semester fee)
  • Free travel eligibility in the VRR area
  • ÖPNV cannot be used for medical reasons
  • Leave of absence
  • Semester abroad
  • Residence outside NRW for study-related reasons, e.g. due to a thesis or an internship
  • Exmatriculation

Application

The application cannot be submitted retroactively and only within the stated deadlines of the current semester. To be processed, the application and all required documents must be submitted in complete form, by the end of the deadline.

Winter semester: 27.02.

Summer semester: 28.08.

  1. Gathering the required documents
    Which documents we need, is explained under the respective reasons for the application.
  2. Link request by mail
    Send us an email at [email protected]
    (please include your full name and the semester to be reimbursed)
  3. Upload the documents and fill in the application form
    After you have received the link and password to securely upload your documents, download the application form, which you will find in your folder.
    Fill in the application form according to the following instructions and upload it into your folder, together with the required documents (in pdf-format).
  4. Deadline and questions about the application
    Once you receive the link & password from us, you have 14 days to complete the application and upload all documents. Otherwise, your application will be automatically archived and you will have to request a new link/application.

  5. Questions
    If we have questions about your application and need further documents, we will contact you by mail. Please note the deadline of 14 days for your response.

Due to the large volume of applications, we only contact you if there are any queries.

As a rule, processing takes a maximum of 4 weeks from the time the application is submitted in full. If no refund has been received after 4 weeks, please contact us.
Especially shortly before and one month after the semester change, we have an increased volume of applications, which may lead to longer processing times.

Reasons for application and required documents

Please upload all documents in pdf format, in the folder we have created, and do not send them to us by mail, for data protection reasons.

Social indigence

  • Fully completed application (incl. signed data protection regulation)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Copy of the HHU-Card on both sides

In addition, please fill out the information on page 2 of the application document in full. For this we need;

  • A copy of your (sub)tenancy agreement, if you do not live with your parents, with the following pages

– Details of the (sub)tenant and landlord, including signatures
– Information about the warm rent (cold rent including utilities)

  • Copies of your complete bank statements, of all accounts and credit cards, of the last three months up to the date of submission.

– The bank statements must be numbered consecutively! A current account balance alone is not sufficient.

– For incoming & outgoing payments from ~50 €, an explanation of the reason for the payments must be made, unless these are traceable as obviously necessary, such as a larger purchase of food.

– Likewise, an explanation for smaller amounts must be included if they accumulate to a larger sum and the necessity alone is no longer comprehensible (e.g. many smaller payments around 10 – 20 € at a drugstore in one month, which add up to a large total)

Free travel eligibility in the VRR area

  • Completed application (incl. signed data protection regulation)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • In case of severe disability:
    Disabled person’s ID card and associated supplementary sheet with token “G”
  • In case of other reasons
    Proof of eligibility for free transportation from appropriate employers/responsible parties (e.g., for dependents of railroad employees, volunteer pilots, etc.)

ÖPNV cannot be used for medical reasons

  • Completed application (including signed privacy policy and signed legal notice).
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • Certificate, handicapped or disabled person’s ID which confirms that the public transport cannot be used (must be valid at least for the respective semester)

Leave of absence 

  • Completed application (incl. signed data protection regulation and signed legal notice)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • If the certificate of study contains the note “beurlaubt” or “Urlaubssemester”, we do not require any further proof
  • If the certificate of study does not contain the note “beurlaubt” or “Urlaubssemester”, we require a certificate from the Student Service Center

Semester abroad

  • Completed application (incl. signed data protection regulation and signed legal notice)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • If the certificate of study contains the remark “Auslandssemester”, we do not need any further proof
  • If the certificate of study does not contain the remark “Auslandssemester” we need a document from the university/supervisor about the semester abroad (e.g. for Erasmus programs), or a document from the university abroad, proving that it is study related 
  • Other certificates confirming that the stay abroad was completed as part of the course of study are also admissible, e.g. in the case of internships

Residence outside NRW for study-related reasons

  • Completed application (incl. signed data protection regulation and signed legal notice)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • Certificate from the supervisor/company stating that the stay as a working student, intern, etc. is study related

Exmatriculation

  • Completed application (incl. signed data protection regulation and signed legal notice)
  • Current certificate of study (download: https://sts.uni-duesseldorf.de/)
  • Double sided copy of the HHU-Card
  • Exmatriculation certificate from the Student Service Center (stamped with date of execution)

Refunds will be calculated from the date stamped on the Exmatriculation Certificate.
